Factors That Affect Commercial Floor-Care Pricing

Two buildings with the same square footage can be quoted very differently, and the reasons are usually specific and identifiable rather than arbitrary.

Commercial floor-care quotes depend on square footage, flooring type, the condition of the existing finish, how many coats are needed, furniture and fixture movement, access restrictions, operating hours, drying and curing time, travel and mobilization, the requested schedule, and whether the work is recurring or one-time.

Why we do not publish a price per square foot

A single rate would be wrong for most buildings, and quoting one would mean either overcharging the straightforward jobs or underquoting the difficult ones and then revising. Square footage is the starting point, not the answer, because the amount of work inside a square foot varies enormously with condition and access.

What goes into the number

Square footage
The baseline. Larger open areas are generally more efficient per square foot than the same total area split across many small rooms with edges and corners.
Flooring type
VCT, sheet vinyl, hard tile, terrazzo, and sealed concrete each call for different methods, products, and pass counts, and not all of them can receive the same service.
Existing finish and its condition
How many layers are down, how well they are bonded, and how much buildup exists at edges. Heavy accumulated finish takes materially more time and product to remove.
Number of coats
More coats mean more product, more application time, and more drying time within the window. Coat count follows the floor's porosity, its traffic, and the appearance standard.
Furniture and fixture movement
Who moves what, and how much of it. This is one of the largest swing factors between two otherwise identical rooms.
Access restrictions
Stairs, freight elevator availability, distance from parking to the work area, security procedures, and how equipment reaches the floor.
Operating hours
Overnight, weekend, and holiday work carries different labour considerations than daytime work, and some facilities can only offer very short windows.
Drying and curing time
A building with air handling running dries faster than one shut down overnight. Humidity along the Gulf Coast lengthens the schedule; dry West Texas air shortens it.
Travel and mobilization
Distance to the site, the number of trips required, and equipment mobilization. This matters most for properties far from major metros.
Requested schedule
Compressed timelines that require larger crews or additional shifts cost differently from work that can be phased across a normal sequence.
Recurring versus one-time
Recurring programs allow planning and consistent crews, which usually makes them more efficient than a series of unconnected one-time visits.

The factors people underestimate

Furniture movement is the big one. A classroom, a dining room, and an office suite can each triple the labour in a room compared with the same area cleared. It is worth deciding early whether your team clears the space or the scope includes it, because the difference is significant either way.

Access is the second. A ground-floor space with a door near parking and a fifth-floor suite reached by a shared freight elevator on a booking system are different jobs with the same floor area. Condition is the third: a floor with eight accumulated layers of finish and heavy edge buildup takes far longer to strip than one with two clean coats.

How to get an accurate quote quickly

  • Square footage by area, separated by flooring type where the building has more than one
  • The flooring material, if known, and whether the floor is currently coated
  • Photographs of a traffic lane and a low-traffic corner in the same room
  • The service you think you need, and what problem you are trying to solve
  • Your operating hours and the windows genuinely available for work
  • Whether furniture will be cleared by your team or needs to be in scope
  • Access details: floor level, elevator availability, parking, and security procedures
  • Whether you want a one-time service or a recurring program

Portfolio inquiries are welcome and are worth sending as a complete list rather than one property at a time. Buildings in the same area can often be scheduled together, and a consistent standard applied across a portfolio is usually easier to plan and price than a series of separate arrangements.
